
ENCOUNTER PLANNING PROCESS GUIDELINES
OUR PROCESS
All encounter requests must be submitted at least 13 weeks in advance. Requests that do not meet this timeframe will be denied.
Before submitting any details to Project Management, your Pastoral Leader must review and approve your initial request.
This form should include your encounter’s vision, projected budget (including any income or expenses), and overall goal.
After submitting, please allow up to 5 business days for your Pastoral Leader to review and follow up with any questions. You will receive either an approval or denial.
If your event request falls under Kingdom Groups, then you must direct your group’s request to the Kingdom Groups Manager for approval. If a ministry would like to host an event, conference, etc., they must contact their assigned Pastoral Leader for budget approval. Please note that this approval must be done before filling out an event date request form or any other steps included in the event planning process.
If approved, you’ll receive a link to complete the full encounter detail form for Project Management. Please include as much detail as possible.
Once your date is approved by Project Management, you may begin all planning and preparations.
